Did you know that all of the data within your Lease and Location profiles can be organized into a custom report? That’s right - your dates, dollars, and clauses across all of your locations can be arranged side by side in an exportable table view. The same is true for your Tasks, Events, Companies, Contacts, etc. In fact, you can create a custom report within any tab in Leasecake!
Step 1: Choose Your Module
Choose a module from the left hand navigation. For this article, we will work in the Leases module. Next, click into the Table view in the top right corner of your screen.
By default, you will be shown your entire portfolio. But, we can add filters and change the display columns to create the exact data set we are looking for.
Step 2: Choose Your Filters
Click 'Add Filter'. Scroll through the available filters, or type in the name of the field you're looking for.
Add as many filters as you'd like.
For example, add a filter to see which leases have ASC 842 measurements.
Or, for example, add a filter to see which leases have rent changes coming up in the next 12 months that are greater than 10% increases.
Step 3: Choose Your Display Columns
Click 'Column'. Scroll through the available columns, or type in the name of the field you're looking for.
Add as many display columns as you'd like. By default, some standard columns will display but you can 'uncheck' the box if you don't want to see that column. You can also rearrange the order of the columns.
If you have more columns than can be displayed on your view, you can scroll right and left to see everything.
Step 4: Save, Send, or Export Reports
1) Keep This Report
If this is a report you'd like to view frequently, we recommend choosing Save View so it will be available on your menu bar and stay preconfigured.
2) Favorite This Report
You can choose one report as your Default View, so it’s the first report you see whenever you open this module.
3) Share With Your Team
When you share this report, it will be added to the other team member's Leasecake account as a Saved View, and it will show up in their menu bar for easy access.
4) Set Up Email Delivery
Add your recipients (they do not have to be a Leasecake user to get the report delivered to their inbox).
Choose to customize the email message if you'd like.
Choose which format you want this report to be delivered.
You can choose to skip sending the report if it has no results. For example, if you've set up a report to show leases expiring in the next 30 days but there are no leases that meet that criteria when the report is run, you can prevent it from sending a blank report.
Select the starting date, delivery time, and how often you want the report to run. The starting date determines the schedule for future reports. For example, if you set the report to start on November 1, it will be delivered to you and your recipients on the 1st of every month at 8 AM. If you set the start date to November 15, the report will run on the 15th of each month (e.g., December 15, January 15, etc.).
5) Export
When you export a report, you can download an exact copy as an Excel or PDF file, including all the columns shown in your Leasecake account.
Optional Step 5: Delete a Report
Please note that once a report is deleted, it cannot be recovered. You will need to recreate the report from scratch if needed.
